These two concepts have been studied to great length and are almost always misunderstood by entrepreneurs. On the face of it, efficiency just looks like a purely procedural subject matter. However efficiency is something that needs to be woven right into your company culture and the design of your processes. Procedure comes second to process and always will. Productivity happens best when everyone has become so familiar with your processes that they know them like the back of their hand. Employees need to get used to how your business operates, improve on communication, speed and mitigate as many mistakes as possible. This way you don’t burn the midnight oil when you don’t need to.

Equipment is your savior

The trouble with equipment is, small businesses may have exactly what they need but it might not be the best in class. For example, if you’re a restaurant company then you want to have equipment that you can utilize every single day and have it be as consistent as possible. This is why you might need a Charcoal briquette machine because the end product may only take 30-minutes to 1-hour to ignite but it will burn for 5 to 6, even 7 hours. If you are a restaurant that opens in the afternoon and you want your ovens to continue working at a consistent heat all the way to closing time, the less managing you do the better. Charcoal briquettes just burn continuously without moving around of the product like you would need to do with wood.

A system of software

Small business owners will gradually add to their business management tools. They will need to utilize the best in class software for their industry. For example if you are a marketing company, your design tasks need to be done in 2D and 3D design software. However the challenge comes when you need to transfer these designs to the sales department, which is almost always purely working in numbers and customer sentiment. They have to be able to open files and understand what they’re looking at. This means you need a system of different software all working together seamlessly so employees of different skill set can speak in different languages but still understand each other. 

 

Be smart in outsourcing

Usually it’s the little tasks that eat away at your time. The main priorities are always seen to first but the little tasks tend to add up and sometimes total more time to complete than the main challenges. Therefore be willing to outsource smartly. Whichever tasks do not alter the narrative and direction of your tasks, they should be given to other businesses that provide services or freelancers.

 

You need not have late nights at work when you can make choices that limit the amount of time wasted on small tasks. You must also use the right equipment specifically made for your industry and sector.
