Events come in all sorts of sizes and shapes and styles that bring a unique challenge to each. Here, we are going to cover some of the facets that you have to consider when looking for any event venue. Take this guide and move forward with confidence!

Find What is Available

First and foremost, your biggest step is going to be finding what it is that is actually available. There are a few things that you have to consider and part of that is are you willing to change dates and times too.

What is Your Date?

High event times are different based upon each state or location around the world. As humans, we tend to move with the weather or have themed events. This means you really have to stop and think about when your event is going to be. What is your date and do you have to move it?

Do You Need to Move Times?

Hopefully you’re able to plan far ahead enough with your event but there are times when we have to make last minute changes: one of those changes can be the date! If you aren’t finding venues that fit what you need it may be that you need to take a step back and look at the date or date ranges that you have picked out.

Determine Your Indoor and Outdoor Availability

One of the benefits of events is that you can have multiple spaces available and that is something that you want to check in on. Are you going to have an indoor and outdoor space to take care of and manage or are you going to have a single space? Each has its pros and cons.

Benefits of Dual Spaces

Consider a summer bash that you are hosting for a company and some guests end up getting too cold indoors. This is where having an outdoor area with decor and refreshments available is a great way to pay attention to the needs of your guests.

Deficits of Dual Spaces

You have more to decorate and to manage. It may not sound like much but if you and your team are already taking care of one large area, having another space can be hard to manage especially if you are new to events.

Always Consider Accessibility

In a world that is slowly catching up to the needs of those with disabilities this is something that you as an event planner have to have at a very high-level in your considerations when it comes to locations.

Ramps vs. Stairs

Unfortunately, some older locations have yet to update with the necessary ramp access that has been required by the ADA at least in the United States for certain buildings. This is where you have to consider your demographic and who you are bringing to the event.

Restroom Accessibility

As an event coordinator or someone who is working with events, it is important to make sure that you have accessible restrooms for everyone and all genders. This is something that may not be your favoritue thing to check, but it is just as important as the location itself!

Find Out What Matters Most

Perhaps the biggest challenge for any event manager is figuring out what facet of running the event is going to matter the most. For a corporate gathering, decor may not mean as much but for a celebration, decor may be at the top of your list! This is where you have to break things down into bite-size pieces to see what you need.

Aesthetic

Everyone wants the best aesthetic for their event. However, something that you have to consider is, will the aesthetic prevent you from taking care of your guests? If the answer is yes in any way, you need to reconsider the space.

Size

No, don’t bring in something to measure, but instead look at helpful guides that can help you ‘guestimate’ the size of your event, as well as help you with multiple other facets of your event planning.

Guest Comfort

You want an event space that takes into consideration as many people as possible. From having chairs available to making sure there are refreshments easily accessible, there are so many things to consider with guest comfort. If your event space can’t handle those needs, it may be time to reconsider.

Bringing it All Together

First, take a breath. This is a lot to consider and it isn’t even a complete list! Take a moment to list your event needs from most important to least and take off from there. You’ve got this!
